The name 'RIDGECREST' will be deemed to encompass Western District Baptist Association, the managing body, trading as Ridgecrest Christian Education and Convention Centre, its Employees and Committee Members.

A. BOOKING CONFIRMATIONS

We will hold your tentative booking dates for 14 days. A booking is only confirmed upon payment of a non-refundable deposit and the booking form signed and received by Ridgecrest.

B. BILLING:

Please provide final numbers and dietary requirements 10 days prior to camp. Catering supplies and billing will be based on the final numbers provided at this time plus any extras guest during your camp. Payment is due in full at the end of your camp if paying by cheque or cash. If paying by direct deposit payment will be due within 5 business days. Outstanding balances after 5 business days will incur a 10% late fee.

C. DAMAGES

Damages caused other than as a result of wear and tear will be charged to the group. Please report damages immediately.

D. LIABILITY

While everything practical is done to ensure both the comfort and safety of each guest, and whilst due care will be exercised by the staff of Ridgecrest, the said staff will not incur any responsibility or liability whatsoever for any accident or illness to any guest or damage to other guest’s property which may happen through any circumstance. The group also agrees not to run any activities on the site without gaining authorization from Ridgecrest management. Children must be supervised at all times.

E. rESPONSIBILITY CLAUSE:

Camp leaders are responsible at all times for the health, welfare and behavior of their campers, even when a Ridgecrest staff member or volunteer is organizing a program, or the campers go bush walking. Camp leaders are responsible for the first aid of their campers at all times and must supply their own first aid equipment, even when Ridgecrest staff or volunteers organize an activity.

F. CONDITIONS OF USE

No pets allowed. Smoking is prohibited in and around buildings. Only use the designated smoking area. No alcohol and non medical drugs allowed on site.

G. cANCELLATION

If a booking is cancelled less than 3 months prior to the scheduled date, the group agrees to pay 70% of the estimated numbers listed on the form if the site is not rebooked. Should a new booking be secured in place of the cancelled booking then the amount payable by you and your group will be reduced by the value of the new booking plus $50 administrative fee.

H. iNSURANCE

Your group must supply a copy of your certificate of currency (Insurer, public liability) 10 days before camp directly to Ridgecrest office.

I. dOUBLE BOOKING

If your camp has less than 45 full time campers, Ridgecrest management has the right to book another camp, to share the facilities with your group (we would do this with open discussion with both groups to reach a mutually agreeable arrangement)

J. LESS THAN EXPECTED NUMBERS

If final numbers do not reach the original booking, your minimum payment is 70% of total expected numbers shown on this form.

K. GENERAL INFORMATION

Evacuation List – Management must receive a list of camper’s accommodation for emergency purposes before arrival.

Bedding – All accommodation has a mattress and pillow. Campers need to bring all linen, blankets, pillow slip. For health reasons a sheet is required on beds even when using a sleeping bag.

Orderlies – are required to set up tables and tidy dining room after meal.

Cleaning – All buildings and grounds are to be cleaned and left as found. A fee can be paid to have the cleaning done.

Breakages and Damages must be paid for and should be reported immediately.

Discipline – The person booking the site will be responsible for the behavior of the group. The management reserves the right to ask any person who disregards the rules of the site to leave the property.

Main Camp INCLUDES: Cabins 1-7 AND Lakeview rooms with a total of 112 beds.

SEPARATE BOOKING FROM MAIN CAMP:

Lodge, sleeping total of 28 people

Cottage 8, sleeping total of 16 people

Cottage 13, sleeping total of 8 people

WHOLE CAMP CAN ACCOMMODATE total of 164 people
